Module 0Start here: AI in plain English

What chat AI is, which tool to open, how to ask it for what you need, and what to keep out of it. No tech background needed.

Lesson 1 3 min

Understand what chat AI actually is

Chat AI is a writing and thinking helper you talk to in plain sentences, not a search engine and not a know-it-all.

  • 1Chat AI is a tool you type to in normal sentences, and it writes back.
  • 2It's good with words: drafting, rewording, summarizing and brainstorming.
  • 3It doesn't know your business unless you tell it.
  • 4Think of a fast new assistant: great first drafts, and you still check the work.
Common mistakes
  • Using it like a search engine and trusting every fact it gives back.
  • Expecting it to know your prices, hours or customers without being told.
  • Giving up after one so-so answer instead of asking again with more detail.
Lesson 2 3 min

Pick a tool and get started

Any of the big chat AIs will do for the lessons here, and the free versions are enough to learn on.

  • 1ChatGPT, Claude, Gemini and Copilot all handle everyday business writing well.
  • 2The free versions are enough for everything in this course.
  • 3If you already use Google or Microsoft tools at work, the one built in is an easy start.
  • 4Pick one and stick with it for a couple of weeks.
Common mistakes
  • Spending a week comparing tools instead of using one.
  • Signing up with a personal email instead of the one you use for the business.
  • Skipping the privacy settings when you first set it up.
Lesson 3 4 min

Ask so you get useful answers

Give it context, say who it is for, ask for a format, and keep going back and forth until it is right.

  • 1Give context: who you are and what's going on.
  • 2Say who it's for: a customer, an employee, a supplier.
  • 3Ask for a format: bullet points, a short email, a table.
  • 4Iterate. Say what to change, and the second or third try is usually the keeper.
Common mistakes
  • One-line requests like 'write a post about my bakery' that leave AI guessing.
  • Starting over from scratch instead of telling it what to change.
  • Forgetting to say how long it should be, so you get a wall of text.
Lesson 4 3 min

Know what not to paste in

Keep private customer, employee and financial details out of chat AI, and strip names before you paste.

  • 1What you type leaves your computer and is stored by the company that runs the tool.
  • 2Never paste card numbers, bank or Social Security numbers, passwords or health information.
  • 3Swap real names for 'the customer' or 'Employee A' before you paste.
  • 4If a law or contract says keep it confidential, leave it out entirely.
Common mistakes
  • Pasting a whole invoice or email without stripping names, addresses and account numbers.
  • Assuming a chat is private because only you can see it on your screen.
  • Thinking that removing the name makes health or payment details OK to share.
Lesson 5 3 min

Know when to double-check

AI can make up facts, numbers and sources, so check anything that matters before you rely on it.

  • 1Chat AI writes what sounds likely, not what it has confirmed.
  • 2It can invent a number, law, quote or link and say it as smoothly as the truth.
  • 3Check numbers, dates, prices, and anything legal, tax or safety related, at the source.
  • 4Read everything before a customer sees it. You keep the final say.
Common mistakes
  • Trusting a link or source without opening it.
  • Copying a tax or legal answer straight into a decision.
  • Skimming a draft and missing a wrong date or price.

When you want AI that already knows your business

A chat window starts from zero every time, so you re-explain your business in every conversation. We build tools that already know your services, your prices and your way of talking, and that run inside the systems you already use. You still get the final say on everything that goes out.
